How We Pulled Off a Last-Minute London Climate Week Event with Push to Talk Microphones and Interpreter Booths

Organising an event at the last minute is always a challenge. When the temperature hits 35 degrees in London, the pressure rises even more. Recently, we faced this exact situation while supporting the Rainforest Foundation during London Climate Week. The event required push to talk microphones and four interpreter booths to ensure smooth communication across languages. Despite the heat and tight schedule, we managed to deliver a flawless setup.

Setting the Scene: The London Climate Week Challenge

London Climate Week is a key moment for organisations to share ideas and push for environmental change. The Rainforest Foundation, a client deeply committed to protecting rainforests and indigenous rights, needed a quick and reliable audio-visual solution for their event. The request came with little notice, and the London heatwave added an extra layer of difficulty.

The conference space was on the top floor with limited loading capacity and struggling air conditioning system. Temperatures soared to 35 degrees Celsius, which can affect both equipment performance and the comfort of attendees. We had to act fast and smart to ensure everything worked perfectly.

The Role of Push to Talk Microphones in the Event

One of the main requirements was to provide push to talk microphones. These units allow speakers to control when their microphone is live, reducing background noise and improving clarity for streaming and interpreters. For an event with multiple speakers and languages, this feature is essential.

We used one of our reliable Brahler push to talk microphone systems that offered clear sound and easy operation. The microphones helped maintain order during discussions and ensured that every voice was heard without interference. Our technician was able to remotely switch off microphones if delegates forgot!

Using push to talk microphones also made it easier for interpreters to follow the conversation and provide accurate translations. This was crucial given the international audience and the presence of four interpreter booths working simultaneously.

Interpreter Booths: Making Multilingual Communication Possible

This event featured four interpreter booths, each equipped to handle simultaneous translation. Interpreter booths are soundproof spaces where interpreters listen to the speaker and translate in real time. This setup allows attendees to select their preferred language channel on either a wireless receiver or via the built-in language selector in their microphone and follow the event without missing a word.

Setting up four interpreter booths on short notice was a logistical challenge. We had to ensure each booth was properly soundproofed, ventilated, and connected to the audio system. The heat made ventilation especially important to keep interpreters comfortable and focused.

We used our high-quality interpreter booths designed for quick assembly and excellent sound isolation. These booths helped maintain the professionalism of the event and supported clear communication across languages, allowing the interpreters a good view of the conference room and delegates.

Overcoming the Heat and Technical Challenges

High temperatures can cause audio equipment to overheat or malfunction. We took several steps to prevent this:

  • Positioned equipment away from direct sunlight and heat sources

  • Used ventilation fans to push cool air into the interpreter booths and pull stale air out

  • Monitored equipment temperature throughout the event

  • Provided water and breaks for interpreters and technical staff

These measures ensured that the push to talk microphones and interpreter booths worked without interruption. The team stayed alert and ready to troubleshoot any issues immediately.

Why Quick Thinking and Experience Matter

Last-minute events require a team that can think on their feet. Our experience with audio-visual setups and event technology allowed us to adapt quickly. We coordinated with the venue staff, the Rainforest Foundation team, and the interpreters to deliver a seamless experience.

The success of this event shows the value of having a trusted AV partner who can provide comprehensive solutions under pressure. From equipment selection to installation and support, every detail counts.

Recommendations for Similar Events

If you are organising an event with multiple languages or last-minute changes, consider these tips:

  • Use push to talk microphones to control sound and reduce noise

  • Plan for interpreter booths early, but choose booths that can be set up quickly if needed

  • Monitor environmental conditions like temperature to protect equipment and people

  • Work with an AV provider experienced in fast turnarounds and complex setups

For example, the push to talk microphones we used are known for their reliability and ease of use. You can learn more about similar systems here.

Final Thoughts on Delivering Under Pressure

The London Climate Week event with the Rainforest Foundation was a test of skill and teamwork. Despite the heat and short notice, we delivered a professional setup with push to talk microphones and four interpreter booths. The event ran smoothly, and the client was pleased with the results.

This experience reinforces the importance of preparation, quality equipment, and a responsive team. If you need support for your next event, especially one with complex audio or multilingual needs, having the right partner makes all the difference.
